Position Purpose

The Office Coordinator is responsible for a wide variety of administrative tasks that ensure a smooth day to day operation of the business. Displaying a high degree of initiative and independent judgment, the incumbent will be responsible for a broad array of functions which included but is not limited to; managing the appearance of the office, managing office cleaning, managing office maintenance, monitoring and ordering supplies, bookkeeping, benefits administration and general administrative support.

Essential Duties and Responsibilities


  • Responsible for overall appearance of the office, make sure common areas, hallways, conference rooms, etc. are neat and welcoming.
  • Monitor the performance of the outside cleaning crew, work directly with the janitorial supervisor at MASS MoCA to resolve any issues.
  • 1st point of contact for maintenance issues (AC/heat/lights, repairs, service appointments) Building maintenance liaison; issues maintenance tickets to MASS MoCA and work with maintenance team to make sure issues are resolved.
  • Point person for outside services such as bottled water, carpets, recycling, etc.
  • Mailroom management, monitor equipment and software for UPS Worldship and, coordinate any necessary maintenance and software updates with the Technology Manager and vendors. Check with Sales Coordinator to make sure that mailroom activities including the sorting and delivery of incoming mail and courier packages, as well as the preparation and sending of outgoing mail and courier packages is running smoothly. Perform daily mailroom functions if Sales Coordinator is out of the office. Work closely with Sales Coordinator to keep accurate shipping logs, track and resolve issues with lost or delayed packages.
  • Keep up-to-date on all mailing/shipping rate or policy changes, attend information sessions, report changes and present cost savings ideas to management.
  • Direct and train staff on mailroom equipment and policies.
  • Maintain two kitchen areas, replenish supplies (coffee, creamers, paper goods) as necessary. The cleaning crew does the major cleaning after hours, during the business day monitor the space, wipe up counters and tables. Make coffee in the morning and be sure coffee pot is cleaned and machine is shut off at the end of the day.


  • Assist Business Office staff with A/P, A.R, journal entries, reconciliations, spreadsheets and other miscellaneous tasks.

  • Monitor and order supplies (office, kitchen, mailroom, bathroom, cleaning, etc.) get quotes, negotiate best price, create place orders, receive stock and resolve any issues that may arise.
  • Maintain and distribute up-to-date databases including; employee vehicles, employee birthdays, emergency evacuation, emergency phone tree.
  • Assist Director of Human Resources with event planning; common duties include but are not limited to; ordering and picking up food for meetings, obtaining quotes for food or services, decorating, ordering flowers, setting up and cleaning up of venue space, shopping for supplies, etc.
  • Coordinate donation request process.
  • Coordinate the annual holiday card project, United Way campaign, Elf Program and other projects as assigned.
  • Prepare new-hire work areas, make sure supplies are stocked and area is neat and clean.
  • Organize and maintain storage areas.
  • Provide administrative support to Director of Human Resources and others as assigned by Director of Human Resources; this will include assisting with 401k and benefits administration.

Education/Skill Requirements

  • College degree or course work in business/accounting preferred
  • 3-5 years of work experience in an office setting
  • Attention to details a must
  • Strong administrative, organizational, and negotiating skills
  • Ability to multi-task and prioritize is a must
  • Strong computer skills, including Microsoft Excel and Word, experience with high-level data entry and processing in accounting software
  • Must have good judgement and the ability to make independent decisions
  • Excellent interpersonal skills, ability to communicate effectively with a wide range of people

Physical Demands

Publicity & Marketing Campaign Manager

Position Purpose

To plan and execute creative publicity and marketing campaigns for Storey’s books. Promote titles and authors across traditional and digital media; to booksellers, librarians, and specialty retail partners; via topic-specific organizations and associations; and to Storey’s general and niche consumer audiences. Develop dynamic relationships with media, booksellers, and marketing partners; plan and organize customized author tours; book trade and consumer advertising; and energetically communicate campaign success to sales reps, book buyers, and in-house sales, marketing, and editorial teams. Collaborate with Publicity and Marketing Directors to develop and strategize campaign priorities. Develop partnerships with authors to guide and support their promotional efforts.

Essential duties and responsibilities

  • Develop and execute marketing and publicity campaigns for select frontlist books
  • Strategize and implement creative ways to boost book and author presence in the marketplace, including the development of promotional marketing materials
  • Write original press releases, customized pitches and creative marketing copy for frontlist titles
  • Build relationships with national and local media contacts and marketing partners, and pitch story and promotion ideas via email, phone, mail, and in-person
  • Book trade and consumer print and digital advertising, write ad copy, and manage design circulation
  • Develop strong and consistent communication with authors to support their promotional efforts
  • Plan and organize author tours for select frontlist titles: select cities, book events, coordinate author travel, secure local media, develop event marketing materials
  • Plan seasonal backlist publicity and marketing promotions
  • Compile media lists and coordinate mailings
  • Track, record, and communicate media coverage and event plans through databases, weekly emails, and in-person presentations
  • Arrange corporate publicity for milestone anniversaries, charitable donations, etc.
  • May include limited travel to develop media contacts, support Storey’s presence at trade and consumer shows, and coordinate author events.

Education/skill requirements

  • BS or BA from a four-year accredited college
  • Minimum 2-3 years’ experience in publicity and/or marketing
  • Strong knowledge of MS Word, Excel, Outlook, PowerPoint, and social media platforms
  • Excellent written and oral communication skills
  • Excellent organizational and research skills
